One of the biggest efficiencies to be gained by software is in the area of sending business forms; confirmations, purchase orders, invoices, credit notes, remittance advices and customer statements. Staff are wasting time We often find that some businesses are not even using the basic features in their accounting system, and as a result their staff are spending time in printing out the documents, folding them, placing them in envelopes and sending them to the customer, not forgetting the cost of postage. There really is a saving to be made by making use of the built in email functions of your accounting system. Sage 300 has limited functionality Sage 300 ERP (previously Accpac) has a built-in feature to send a form as a PDF attachment to the customer or supplier. However this functionality is limited; the only option you have is to print or send the form and it can only be sent in one email at a time. Some businesses have a need to send a form to more than one customer contact and may also have a need to print and file the form internally. Other customers may want their agents or representatives to receive copies of invoices that have been sent to their customers. In these areas the standard email functionality of the current system is lacking. EU requirement for achiving electronic forms There is also a new EU proposal which recommends that businesses keep an archived PDF copy of every form that is sent out. Even reprints of the form need to be filed separately from the original. After doing lots of research we have a found the best solution; PrintBoss. By making use of the user-defined fields within Sage 300 ERP, and the form design and functionality of crystal reports, all of the settings can be maintained in the accounting system.
